Data protection for server owners

Who is responsible for what, how to inform your players, retention, deletion requests from Roblox and exporting your data.

Who is responsible

For the moderation data of your community (reports, evidence, bans, unban requests, notes) you are the controller and Modhelm is your processor. We process this data only on your instructions, under the data processing agreement that an admin accepts in the dashboard.

For its own data (accounts on the website, billing, support, the network wide verification) Modhelm is responsible itself. That is described in our privacy policy.

Informing your players

Reported and banned players have a right to know what happens with their data. Modhelm helps you with this:

  • your portal has a privacy page at /g/your-server/privacy that you can fill with your own notice, or link to your own privacy policy in Settings → Portal
  • every report and unban form links to that notice
  • reporters agree each time that their report is shared with your team, and Modhelm keeps a record of that consent

A typical legal basis for moderation is your legitimate interest in a safe and fair game (Art. 6(1)(f) GDPR). Many Roblox players are children, so keep the data short and only use it for moderation.

Retention

Modhelm uses these default periods: reports without a ban are deleted 180 days after the decision, everything else one year after the ban ended. Unban requests follow the ban. When you remove your server data in Data, everything is deleted.

Deletion requests from Roblox

When a player asks Roblox to delete their data, Roblox sends a Right to erasure notification by webhook. Modhelm handles it for you:

  1. In the dashboard copy the webhook URL and the secret of your server.
  2. In the Roblox Creator Hub open Webhooks, create a webhook with that URL and secret and select the right to erasure trigger.
  3. Save. From now on Modhelm deletes the reports, evidence files, notes, unban requests and bans of that player on your server automatically.

Active bans in Roblox stay in place, because they protect your game. Modhelm lists them in the result so you can decide. You can also delete a player's data by hand on the player page.

Export and deletion

Under Data you can export all data of your server at any time, in every plan. You can also delete everything your server has stored. Uploaded files are removed too.
